This website enables assessment, management, and reporting of storage space applications. Those requests are submitted by an organization through applicants (hereinafter referred to as “Principal Investigators” or Pls) who use the JARDS instance for Coscine to manage their storage media. The technical operation and coordination of storage space requests is carried out by RWTH Aachen University. In accordance with § 3 (1) HG NRW, the JARDS instance for Coscine is offered as a service with the aim of supporting researcher in ensuring good scientific practice. By enabling storage space to be allocated to projects involving several universities, it also pro-motes regional, European and international cooperation, particularly in higher education sector and exchange between German and foreign universities in accordance with § 3 (6) HG NRW
The processing of personal data in the JARDS instance for Coscine is carried out in accordance with Art. 5 (1) lit. b) and c) GDPR for a specific purpose and subject to data minimization. All data collected is processed to support good scientific practice, together with the necessary research data management. Data collection, processing and use are carried out by RWTH Aachen Univer-sity for the purpose of submitting and reviewing storage space requests for the use of storage space resources. When using the service, personal data is only collected to the extent necessary for the use of Coscine-JARDS, for the complete processing of storage space requests, for carrying out the review process, for the administration of approved storage space projects, for simplifying renewal requests for a subsequent storage space allocation procedure, for statistical purposes and for the exclusion of multiple applications.
The data will not be used for any other purposes.

Notification emails sent by the system The functional and usage data is processed for the purposes of administration, support, project application, technical and scientific project evaluation, project management and reporting.
The data may also be processed for archiving purposes in public interest, scientific or historical research purposes based on Art. 6 para 1 sentence 1 lit. e) para 3. GDPR in conjunction with Art. 89 GDPR in conjunction with § 17 (1) DSG NRW, for archiving purposes in the public interest, sci-entific or historical research purposes and statistical purposes without consent, if the processing is necessary for these purposes and does not override the legitimate interests of the data subject. RWTH Aachen University provides for appropriate and specific measures to safeguard the inter-ests of the data subject in accordance with Section 17 (2) DSG NRW. The data will be anony-mized in accordance with Section 17 (3) DSG NRW as soon as this is possible for research or sta-tistical purposes. The data will be deleted as soon as the research or statistical purpose allows.
The data will not be evaluated for marketing purposes in this context.
The following roles exist for the JARDS instance for Coscine:
These parties have varying degrees of access to the personal data collected. Data may only be accessed for the specified purpose and to the extent necessary to perform the task. The principle of data minimization also applies.
Coordinators of the application and review process Coordinators of the application and review process are employees of RWTH Aachen University and have direct access to the relevant data. Reviewers Reviewers are given access to personal data and application details relevant to their review. To ensure the quality of the scientific review, experts from all German and international teaching and research institutions can be appointed. Principal Investigator (PI), Person of contact (PC) A PI or PC only has access to the data of their own projects. In addition, the PI and PC can each see the personal data of the other. Administrator Only employees of the RWTH IT Center are assigned to the role of administrator.
Any personal data processed is subject to applicable data protection regulations, particularly the EU General Data Protection Regulation (GDPR), state data protection laws and the Telecommuni-cations and Telemedia Data Protection Act (TTTDSG).
The personal data of the data subject will be deleted or blocked as soon as it is no longer required for storage purposes. Functional and usage data collected during the project will be stored for 10 years after its conclusion. This data will then be deleted 10 years after the project ends.
Every time you visit the Coscine-JARDS website, information is exchanged between your device (such as a computer, tablet or mobile phone) and the servers that provide the website.
